Data Imports

Where to find it: Settings > Data Imports

The Data Imports page is where you sync data from QuickBooks and import CSV files into Cherp. This keeps your financial data current and lets you bulk-load intel data.

This page is only visible to managers (Admin and PM roles).

QuickBooks Sync

Cherp connects to QuickBooks Online to pull in estimates, invoices, payments, and items. The sync brings financial data into Cherp so you can track project revenue, match invoices to deliverables, and run payroll reports.

Sync Modes

There are three sync modes, depending on how much data you need to refresh:

ModeWhat It DoesWhen to Use It
Quick SyncPulls changes from the last 24 hoursDaily routine — run this to catch recent invoices and payments
IncrementalPulls everything that changed since the last syncAfter a gap — if you haven’t synced in a few days
FullRebuilds all data from scratchTroubleshooting — when something looks off and you want a clean slate

Quick Sync is the fastest and is fine for daily use. Full sync takes longer but ensures everything is perfectly in alignment.

What Syncs

Data TypeWhat Comes In
EstimatesQuotes and proposals from QuickBooks, matched to Cherp projects
InvoicesAll invoices with line items, amounts, and payment status
PaymentsPayment records linked to invoices
ItemsProducts and services from your QuickBooks item list

Sync Status

After running a sync, you’ll see a status summary showing what was imported, updated, or skipped. If any errors occurred, they’ll be listed here with enough detail to troubleshoot.

CSV Imports

You can also import data via CSV files for bulk operations:

  • Hotel data — Import hotel properties into the Intel system
  • Venue data — Import venue records into the Intel system

CSV imports are useful when you have a spreadsheet of research data that you want to load into Cherp all at once instead of entering it one record at a time.

Import Process

  1. Prepare your CSV file with the required columns (the import page shows the expected format)
  2. Upload the file
  3. Review the preview to make sure the data looks right
  4. Confirm the import

The system will tell you how many records were created, updated, or skipped due to errors.
