WorkTime TrackingTask Selector

Task Selector

Every time you log a time entry, you need to select which task the time is for. The Task Selector appears across all time entry methods and learns your patterns over time.

How Tasks Are Organized

When you open the task selector, options appear in this priority order:

  1. Pinned — Tasks you’ve starred for quick access. Shown in compact format: Project / Task List / Task
  2. Recent — Your last 10 tasks, sorted by most recently used
  3. Assigned to Me — Tasks assigned to you
  4. Open Deliverables — Tasks belonging to in-progress deliverables
  5. All Projects — Full project drill-down for any other task

Within each section (except Pinned), tasks are grouped by task list name.

Type in the search box to filter across all sections at once. This searches project names, task list names, and task names.

Pinning Tasks

Click the star icon next to any task to pin or unpin it. Pinned tasks always appear at the top of the selector.

Pin tasks you log time to frequently:

  • Weekly meetings
  • Ongoing retainer work
  • Regular admin tasks

Automatic Tracking

Every time you save a time entry, the selected task is automatically added to your “Recent” list. Over time, this builds a personalized list of your most-used tasks with no manual effort.

The “Closed” Warning

If a task belongs to a deliverable that’s been marked complete, billed, paid, or closed, you’ll see an amber Closed badge. This is a soft warning — you can still select and log time against it, but the badge signals that the work is officially done. This is useful for catching late entries or corrections.

Contractors

Contractors only see tasks on projects they’ve been assigned to. The selector automatically filters to accessible tasks only.
