Add Alternates

Add alternates are pre-priced optional scope items that clients can activate at any time during a project. They’re common in hospitality contracts where the base scope covers core deliverables and add alternates offer additional services at pre-agreed pricing.
How They Work
- Not included in base scope — Alternates don’t count toward the project budget until activated
- Locked price — The contracted amount is set when the alternate is created
- No tasks until activation — No time can be logged against them until they’re activated
Activating an Alternate
When the client decides to proceed:
- Click Activate on the add alternate
- The system creates a real deliverable with the alternate’s name, description, and amount
- If the alternate was based on a template, tasks are automatically created
- The new deliverable starts in Contracted status (if the project is contracted/in progress)
- The alternate disappears from the alternates list
Once activated, the deliverable works exactly like any other — you can assign tasks, log time, and track progress.
When to Use Alternates
- Pre-priced options in a contract (e.g., “Brand Guidelines PDF” as an add-on to a branding package)
- Scope items the client might want but hasn’t committed to yet
- Any work where you want a pre-agreed price that the client can trigger later
